Record a Mid-Year Start Date
An employee does not start on 1 January? Here is how to record a mid-year start correctly.
How Samay calculates
Samay always calculates over the calendar year (January to December). Target working hours apply per year for the entire team – there is no separate field for a start date. The actual start of work is mapped via the employment entries instead.
💡 Important
If no employment is recorded for a period, Samay automatically calculates with 100 %. Without an entry for the months before the start date, the full target hours appear there as undertime.
1. Open employee
Go to the Team tab and select the employee. Scroll to the Employment section.
2. Record the period before the start with 0 %
Tap the plus icon (+) and record the period before the start of work with 0 %.
Example for a start on 1 August:
- 01.01. – 31.07. → 0 %
3. Record employment from the start date
Add a second entry starting on the start date with the correct percentage. Leave the end date empty while the employment is ongoing.
- from 01.08. → e.g. 80 % or 100 %
💡 Note for retroactive entries
Set start and end dates manually for retroactive periods. An existing open entry is only closed automatically if the new start date is today or later. Overlapping periods and multiple entries without an end date are flagged in the app and should be cleaned up.
4. Enter the starting balance pro rata
Under Team → Employees, enter the starting balance for vacation and overtime/undertime pro rata for the remaining months.
And when someone leaves?
No 0 % entry is needed: swipe the employee left in the Team tab and choose Archive. The employee no longer counts towards your subscription, and all recorded working hours are kept. Use the archive icon in the top right to view archived employees and restore them.
💡 Tip: Archived employees can no longer be opened – correct employment and balance before archiving.
