Set the Vacation Entitlement

You enter the vacation entitlement once per year and employee – in hours.

1. Convert the entitlement into hours

Convert vacation days into hours:

Vacation days × hours per day = entitlement in hours

With a 42-hour week that is 8.4 hours per day. 25 vacation days therefore give 25 × 8.4 = 210 hours.

2. Enter the value

Go to Team → Employees, tap the year in the Balance section and enter the hours in the Vacation field.

3. Calculate pro rata for part-time

The entitlement is not converted to the employment level automatically. Multiply it yourself:

60 % of 210 hours = 126 hours.

When the employment level changes during the year

Add up both periods and enter the total. Example: 60 % until the end of July, then 100 %.

  • January–July: 210 × 60 % × 7/12 = 73.5 hours
  • August–December: 210 × 100 % × 5/12 = 87.5 hours
  • Value for the vacation field: 161

💡 Entitlement by hand, usage automatic

The entitlement is always a fixed number you maintain yourself – on an employment change, at year-end or on a payout. Usage is automatic: every booking on the absence type "Vacation" is deducted.

What the employee sees

Under Profile the remaining hours are converted into days, based on the current employment level. If the level changes, the displayed number of days changes even though the hours stay the same.
